Hi, my name is Candice Elliott and I am a human resources strategist. I work with small businesses on developing sustainable HR systems for owners and their employees. Today I'm going to be talking about the nuts and bolts of bringing your new employee into your organization and helping you to decode your company's systems for your new employee.
The first thing is accessing the building and accessing programs. With the building, you want to make sure that you're supplying this employee with a key, if that's appropriate for their position and the alarm code, the way to turn the alarm on and off, and letting them know what hours it is and isn't appropriate for them to be in the building.
Next is all the programs that you use, computer programs. If you have any physical programs that you're using, you want to make sure that you are supplying your employee with the usernames and the passwords that they need in order to get into those programs. The best thing to do is to give each new employee their own log-in access to any program that you have, that way when that employee leaves, you can just delete their user from the account rather than having to do some more complicated work.
Next thing is systems that we don't think about transferring to other people in the beginning. We usually let them come up as time permits or allows and that's a fine way to do it. If you also have the chance in the beginning to explain the workflow of the company, that's wonderful, so that they know how often they'll [00:02:00] be in contact with other people and when they should be handing projects off or picking them up, and then also when any regular meetings happen so that they know when they will be meeting with the full staff or with you or with their manager.
Those are important systems for them to understand right out the gate. The last thing is really who to contact with questions. If they have questions about the content of the work, who do they go to? If they have IT questions, who do they go to? If they have issues with the client, who do they go to? Maybe just a cheat sheet so that they know who they go to when they have questions about different things. If you follow these little guidelines, then it'll help your employee to feel more confident about their first weeks on the job and know where to go to get information if they need it.
